Confirm, note and ship: your daily order routine

Read the two badges, hold COD orders for confirmation, note every call, and take a deposit from repeat refusers.

Launch basics

An order that ships to someone who never really wanted it costs you twice: the ride out and the ride back. Almost all of that money is lost in the hour before the parcel leaves.

So the daily routine below is built around that hour: confirm, note what happened, ship, and keep a short list of buyers no longer worth the ride — all on Orders → Orders and the order page.

First, read the two statuses

Storix tracks an order with two separate badges, and merchants often confuse them.

  • Payment: such as Paid, Not paid, Deposit paid, Partially paid, Refund pending, Refunded, Partially refunded, Failed or Voided. A camera icon means the customer uploaded a payment proof.
  • Shipment: where the parcel is, plus the provider, the tracking number, and Needs attention when a shipment is stuck.

An order you create yourself in the admin starts as Under creation and becomes New once it is placed.

Let Storix ask for the confirmation

Do not build your confirmation habit on memory. Switch it on: Design → Profile → COD confirmation, turn on Require COD order confirmation, and set the Confirmation deadline between 24 and 168 hours. The default is 24.

A new cash-on-delivery order then waits for confirmation before it joins your normal queue. Storix does the asking for you by email: the customer gets a link to confirm, delay once by 12 hours, or cancel — most orders settle themselves this way. An order nobody answers by the deadline expires and releases its reserved stock, so a fake order stops blocking a real one. Keep your phone call, or a wa.me message, as the backup for a customer who never opens that email.

On the order page, the same COD confirmation panel gives your team three buttons: Confirm, Delay 12h (once only) and Cancel order.

The confirmation call, in one minute

Keep it short: read back the items, quantity and total the customer hands the courier, then agree a delivery window and write it on the order.

If nobody answers, do not push the parcel out — call again later, try a second number, and leave the order waiting.

Write the outcome down every time. The Notes card takes an Internal note for your team and a separate Message to customer, and the shopper's checkout note shows there read-only.

Check the buyer before you check the address

The order page already tells you how many other orders that phone number has, with its returns and cancellations — read it before approving a large order.

For a repeat refuser, ask for money upfront: a Deposit (1% to 99%) paid at checkout with the rest left as a balance, or Create payment request for a link you Share on WhatsApp that works once and expires after seven days.

If it keeps happening, stop selling to them. Customers → Customer restrictions → Blocklist blocks a phone, an email or an IP address, with an expiry date or Permanent. The blocked shopper simply cannot place the order and is not told why; you see Blocked on purchase blocklist on the order page.

One caveat: Checkout verification on that screen is recorded but not enforced yet — checkout asks for no phone code today, so do not treat it as protection.

Storix already messages your customer

You do not need to send status updates by hand: Storix emails the customer when payment becomes Paid or Refunded, and when the shipment becomes Ready, Out for delivery, Completed, or Cancelled. Resend customer email sends any of those again.

Carts that never became orders

Orders → Abandoned Carts shows carts idle 24 hours or more; reminders reach only carts with an account, email or phone. Email is the only reminder channel — WhatsApp shows Coming soon, and the feature needs a plan with advanced analytics.

Apply this daily routine to every order before it goes to the courier - it is what separates a delivery that lands from one that comes back.

Your daily order routine

  • Clear the COD confirmation queue before the courier pickup.
  • Write an internal note on every order you called.
  • Look at Needs attention shipments and chase the stuck ones.
  • Add repeat refusers to the blocklist, or switch them to prepaid.
  • Skim yesterday's abandoned carts for a pattern, like a fee that scares buyers off.

For the confirmation script itself, read the COD confirmation routine. For picking, packing and labels, read the shipping workbench.
